This policy explains how RigReceipts handles information across the submitted RigReceipts Freight Economics (v1.0.0) ChatGPT app, the browser freight-economics calculator, the RigReceipts mobile product, and the separate private RigDesk Roadside preview. We use information only for the product functions described here. We do not sell personal information, use private freight records for third-party advertising, or give an AI host operational authority merely because a tool is installed or invoked.
RigReceipts Freight Economics ChatGPT app
The current submitted ChatGPT app is an anonymous, read-only economic decision-support tool. Its submitted tool surface contains one tool: evaluate_load_offer. It does not connect to a RigReceipts account or read saved customer records.
Data the tool receives
When you ask ChatGPT to evaluate a freight offer, the tool may receive only the values needed for that calculation: offered load pay; loaded miles; deadhead miles; weekly fixed operating costs; variable operating cost per mile; projected total miles per week; expected loaded miles per week; desired weekly driver pay; and desired weekly reserve or profit cushion. These values are supplied by you or by ChatGPT from information you provided in the conversation.
Why we use those values
We use the values only to perform deterministic freight-economics calculations and return decision support for the specific offer. The calculation produces loaded RPM, all-mile RPM, deadhead share, weekly break-even cost, weekly revenue needed, all-mile break-even RPM, all-mile target RPM, break-even gross for the offer, target gross for the offer, margin over break-even, delta to target, a weekly planning-only target loaded RPM, and an ACCEPT, COUNTER, or PASS verdict.
What the tool does not do
The current ChatGPT app does not read your RigReceipts account, receipts, documents, saved loads, mileage history, precise location, contacts, payment information, or private carrier records. It does not search load boards or live freight markets, contact brokers or shippers, negotiate, book, accept, reject, or dispatch freight, establish HOS or safety feasibility, authorize payment, or create any external operational commitment.
Recipients and data flow
OpenAI/ChatGPT processes the conversation and creates the tool call under OpenAI's own terms and privacy controls. The RigReceipts tool runtime receives the calculation arguments needed to produce the result, and hosting/network infrastructure may process ordinary connection and security metadata required to deliver the service. RigReceipts does not intentionally send the freight-economics tool inputs to TruckDown, load boards, brokers, shippers, advertising networks, or other freight-data providers. We also do not intentionally place these economic input values or calculated outputs into Google Analytics events.
Retention and user controls for the ChatGPT tool
RigReceipts does not intentionally write the evaluate_load_offer inputs or calculated outputs to a RigReceipts application database or customer account. They are processed for the calculation and are not retained by RigReceipts as a saved freight record after the tool request completes. Standard hosting/security logs may retain technical request metadata according to the hosting provider's operational settings. The prompt, tool call, and response may remain in your ChatGPT conversation or OpenAI systems according to your ChatGPT history, account, and privacy settings; that OpenAI retention is controlled by OpenAI, not RigReceipts. You control what values you provide, may stop using the tool at any time, and can use ChatGPT's conversation/history controls for data retained by OpenAI. Because this v1.0.0 tool creates no RigReceipts account record, there is no separate saved RigReceipts tool record to delete.
Browser freight-economics calculator
The public RR-W1 calculator performs the same type of freight-economics calculations in your browser. It does not require an account and does not intentionally persist the freight-offer or operating-cost values entered into the calculator. The browser page may receive ordinary website analytics and request metadata as described below, but the calculator values are not intentionally included in analytics events.
RigReceipts mobile and connected records
If you choose to create or use a RigReceipts account, we may store the records you deliberately save in your private account space, including account information, receipts and document images, expenses, loads, mileage and trip records, cost profiles, rate checks, saved freight records, and related metadata. We use those records to provide the app features you choose, synchronize or restore account data where enabled, generate reports and calculations, and support account security.
Documents, camera, and photos
When mobile document or receipt features are used, the app may process images and extracted document information needed for the feature. Private document contents, financial identifiers, personal document numbers, names, and exact addresses are not intended to be placed into product analytics. Future Road Wallet, Quick Present, or Carrier Packet capabilities must continue to use explicit document selection and sensitivity controls before sharing; their design does not authorize autonomous signing, broker submission, regulatory attestation, or publication.
Location and mileage
The mobile app may request device location when you deliberately enable a location-dependent mileage feature. Device permissions control access. Location is used for the mileage or trip workflow you selected. The submitted RigReceipts Freight Economics ChatGPT app does not request or receive device location.
Separate RigDesk Roadside private preview
RigDesk Roadside is a separate service-discovery surface and is not part of the submitted RigReceipts Freight Economics v1.0.0 ChatGPT tool. When you press Find roadside help, the Roadside capability sends the location text or coordinates you provided and the requested service category to the RigDesk backend. RigDesk uses TruckDown as the current service-network provider to resolve eligible text locations and return qualified heavy-duty service candidates. Device location is requested only after you choose Use my current location.
Ordinary Roadside searches are not intentionally stored as search-history records. If you explicitly prepare a RoadsideHandoff, the system stores the search location, resolved location context, requested service category, selected provider context, source provenance, expiry, and a no-authority envelope. The handoff is operationally usable for 30 minutes; expiration prevents reuse. The current Roadside surface is a private integration preview, and expired or consumed technical handoff records may remain in protected service storage for limited operational, security, and debugging needs until service cleanup. They are not used for advertising and do not grant service, dispatch, repair, payment, or vehicle-release authority. Roadside location and service details are not intentionally included in Google Analytics event parameters.
Community and aggregate rate information
Community contribution is optional. A private customer record is not automatically permission to pool it into network intelligence. Public or aggregate rate information must pass the product's privacy and verification controls; private documents, personal identities, load numbers, exact addresses, contacts, and other unnecessary private fields are not intended to become public rate-board data. Where a contribution control is offered, you may choose whether to contribute and may use the available removal controls.
Analytics and diagnostics
The public website uses Google Analytics for page and product-usage measurement. Google may process information such as browser/device characteristics, page or referrer information, IP-derived approximate region, and pseudonymous analytics identifiers under its applicable terms and settings. RigReceipts may also use product analytics and crash/diagnostic providers in the mobile product to understand feature usage, reliability, and security. We intentionally avoid sending private document contents, names, exact addresses, financial document identifiers, ChatGPT freight-economics input values, or Roadside location/service details as custom analytics-event parameters.
Subscriptions and payments
If you purchase a mobile subscription, subscription status and entitlement information may be processed by RigReceipts and its subscription provider so paid features can be unlocked and restored. Apple or Google processes applicable app-store payments under its own terms. RigReceipts does not receive your full card or bank account number from an app-store purchase.
Service providers and other recipients
Depending on the feature you use, information may be processed by service providers acting for or alongside the product: OpenAI for the ChatGPT conversation and app invocation; website/app hosting and network providers for delivery and security; Google Analytics for website analytics; Supabase for account/database/file storage where connected RigReceipts or RigDesk storage is used; TruckDown for the separate Roadside provider-search workflow; RevenueCat and Apple/Google for mobile subscription and purchase handling; and product analytics or diagnostics providers used by the mobile application. We may also disclose information when required by law, to protect rights or safety, or as part of a lawful business transfer. We do not sell personal information or share it for cross-context behavioral advertising.
Retention
ChatGPT freight-economics tool: calculation inputs and outputs are not intentionally persisted by RigReceipts after the tool request completes. Browser calculator: calculator values are not intentionally persisted. Device-only mobile records: remain until you delete them or remove the app. Account-backed records: are retained while needed to provide your account and are deleted through the account-deletion process, subject to limited legal, security, fraud-prevention, backup, or dispute obligations where applicable. Roadside: an OPEN handoff is usable for 30 minutes; expired/consumed preview records are not reusable and may be retained temporarily for operational/security debugging until cleanup. Analytics and diagnostics: are retained for limited operational and product-analysis periods under our provider/configuration settings and may later be deleted or aggregated. OpenAI controls retention of data in your ChatGPT account or conversation.
Your choices and controls
You can choose what information to enter, decline optional community contribution, decline device-location permission, use the freight calculator without a RigReceipts account, edit or delete supported mobile records, and stop using any tool at any time. You can review the account deletion process. For access, correction, export, deletion, or other privacy requests concerning information controlled by RigReceipts, contact jburwell@rigreceipts.com. For data retained by ChatGPT/OpenAI, use the privacy, history, and account controls provided by OpenAI.
Security and product boundaries
We use access controls and encrypted network transport appropriate to the connected services. No method is perfectly secure. Authentication, installation, a search result, a prepared document set, or a RoadsideHandoff does not itself authorize publication, booking, dispatch, repair, payment, or another external commitment.
Changes
We may update this policy as RigReceipts capabilities change. We will update the date above when the policy changes materially. New AI tools that access private records, new third-party data recipients, or new external-effect capabilities require the policy to be updated before public use.
